Job Summary

The Real Estate Coordinator is responsible for providing administrative support to the real estate team.  The position requires strong attention to detail.  The coordinator must adapt to new technology and utilize the department and organization’s tools.  Coordination and collaboration with internal teams and external partners is required.

Job Description

Key Responsibilities

  • Maintain pipeline report showing status of all projects and milestones.
  • Landlord/Vendor liaison.  Point of contact for routing external parties to internal teammates or processes.
  • Coordinate approvals and signatures for the real estate team.
  • Coordinate real estate meetings and agendas.
  • Lease Administration support as required. 
  • Mail/operational logistics.  Centralized distribution point for all communication across the enterprise.
  • AP/Invoice workflow support.  Route invoices through appropriate teammates or internal processes.
  • Notarize real estate documents.
  • Maintain internal reference materials including real estate contacts directory and process guides.
  • Oversee user access into real estate portfolio database.
  • Handles requests completely, accurately and within agreed upon timelines while staying in constant communication with all stakeholders.
  • Maintains strong attention to detail, organization, and responsiveness.
  • Manage scheduling and daily administrative coordination.
  • Handle incoming communication with high professionalism.
  • Prepare documents and internal materials as needed.
  • Maintain organized files, systems, and office processes.
  • Manage travel arrangements and process and maintain expenses.
  • Coordinate logistics for meetings, leadership team sessions, and external stakeholder engagements.
  • Consistent exercise of independent judgment and discretion in matters of significance.
  • Regular, consistent and punctual attendance. Must be able to work nights and weekends, variable schedule(s) and overtime as necessary.
  • Other duties and responsibilities as assigned.

Qualifications

  • Bachelor’s degree preferred.
  • Excellent organizational and communication skills.
  • Technology proficiency in Microsoft Office and Teams.
