Job Summary
We are looking for a versatile Program Coordinator to support strategic and operational initiatives across Media Trading & Operations. Reporting directly to the VP Training & Ops, this role will act as a key coordination point across departments, ensuring projects are structured, documented, aligned, and progressing effectively. The role combines project coordination, operational follow-up, documentation ownership, stakeholder management, and cross-functional collaboration. The Program Coordinator will help drive execution across multiple initiatives while maintaining visibility, organization, and clear communication between teams.Job Description
Over time, the role may progressively take ownership of larger initiatives and support broader program management activities as business needs evolve.
Key Responsibilities
Project & Program Coordination
- Coordinate cross-functional initiatives involving teams across Media Trading, Commercial, Operations, Product, Support, and other departments
- Maintain project plans, timelines, milestones, dependencies, owners, and action items
- Organize regular project check-ins, status meetings, and follow-up sessions
- Track deliverables and ensure actions move forward across stakeholders
- Support governance activities including status reporting, risks, dependencies, and escalation tracking
- Identify blockers, gaps, and ownership issues and proactively drive resolution
- Support larger programs involving multiple workstreams when needed
- Help maintain alignment between business priorities and execution activities
- Act as the coordination point between teams and departments
- Facilitate communication, collaboration, and clear hand-offs
- Clarify ownership, responsibilities, and next steps across ongoing initiatives and one-off projects
- Ensure information flows efficiently and that nothing falls through the cracks
- Provide concise summaries and visibility on progress, priorities, and risks
- Support leaders with clear updates and actionable follow-ups
- Create and maintain project documentation, trackers, status reports, repositories, and operational references
- Consolidate information from meetings, emails, chats, spreadsheets, and ad-hoc documents into structured and reusable materials
- Build and maintain playbooks, process documentation, and shared knowledge repositories
- Ensure documentation remains accurate, current, accessible, and easy to maintain
- Establish simple documentation practices that support long-term knowledge retention
- Support coordination of strategic and operational initiatives across the organization
- Help improve processes, ways of working, and collaboration models
- Adapt between project coordination, operational execution, documentation ownership, and stakeholder support depending on business priorities
- Provide flexibility across a variety of initiatives and topics as needs evolve
Experience
- 2–5 years of experience in project coordination, PMO, program support, business operations, operations coordination, or similar roles
- Experience working in cross-functional environments with multiple stakeholders
- Proven ability to keep multiple workstreams organized while maintaining visibility and follow-through
- Comfortable working with spreadsheets, trackers, shared documentation systems, and reporting tools
- Experience in media, adtech, trading operations, commercial operations, or related environments is a plus
- Exposure to project or program management methodologies is beneficial, but pragmatic execution is more important than formal processes
